What this service involves
Every wedding has two stories: the one the couple lives and the one their guests experience. If we take a brief moment and recall what guests experience in most weddings, it has to be hospitality. The journey in, the room, the welcome, the transfer, the meals, and the farewell: we treat each of these moments as part of one continuous experience, and we manage it that way. Hospitality & guest management covers all of it, and as your wedding planner, for us, the experience comes first, and the logistics are designed to serve it. With experience, we mean right from the first invitation to the last departure, the guest’s journey should feel considered and welcoming. In summary, we handle the details and the logistics, leaving you and your families to be present and enjoy the occasion with absolute zest and zeal.
What it covers
- Guest communication: It’s a priority for us to keep the guest list in order. One accurate guest list covering RSVPs, plus-ones, relationships, travel details and special requests is maintained in one place, and we keep it up to date.
- Travel and arrivals: The next big thing we focus on is getting everyone here. Flights, trains and road journeys are tracked, and pickups are scheduled around each arrival.
- Accommodation: Accommodation is where guests spend the quiet hours between events, and it sets the tone for the rest of their stay. So we manage room blocks and allocations with the hotels, placing families and guests with thought for age, relationships and distance from the events.
- Guest desk: Navigating through a new destination can be overwhelming. Hence, The Wedding Saga makes sure to allocate staff to the guest desk to handle check-ins, itineraries, questions, and requests.
- Transport: Cars and coaches run on a schedule and are monitored throughout the day by the logistics team to avoid any delay.
- Individual needs: Diet, mobility, young children, elderly guests, accessibility, customs, and specific cultural or religious practices; we ask early and take care of them so nothing is a surprise.
- Departures: Departures are given the same attention as arrivals, so the last impression matches the first.
How it works
In all candour, our work rests on understanding your families: who is coming, how they know each other, how they are connected, and what each group will need. This shapes a single guest record, and every arrangement is checked against it. Our hospitality team works closely with hotels, transport and venue teams and stays on the ground throughout the celebrations, attending to small matters before they become noticeable ones. The care that opens the work is the care that closes it.
What we coordinate
We work with the hotel front office and housekeeping teams, transport operators and venue staff. Our own wedding decorator and production teams are briefed alongside them so that guest areas, signage and seating are ready before anyone arrives. When it comes to the wedding ceremony, we carefully plan guest seating, family movement, and timings that also include requirements specific to your tradition. Moving forward to the wedding reception, we coordinate arrivals, seating, service, pace, and the flow of the evening as the guests will feel it.
How we work with you
As stated, you have one point of contact. Not through volume, but through clarity, we make each decision. Consequently, every decision reaches the right people, and if your family wishes to be involved, we encourage each side to work alongside us. After which, the vendors and partners take their instructions and briefings from us, and our own team is briefed too before arriving on site. A delayed flight, a room that isn’t ready, or an unexpected addition to the guest list: all are resolved beforehand. Nothing to hear, nothing to propose when it comes to handling minute inconveniences arising.
Why It Matters
The first rule in the rule book of wedding management is that hospitality should maintain invisibility and experience. The invisibility of the process behind the scenes and the experience that shows ease, warmth, and comfort. This thumb rule is what a good wedding organizer works towards. For The Wedding Saga, each wedding celebration comes with its own wedding planning system. There is no one-size-fits-all approach when it comes to planning weddings. At the end, what we focus on is that people should feel looked after. This entire approach shapes our hospitality & wedding guest management.
If you are considering how your guests should be looked after, we would be glad to talk it through.
